Citizen support around the clock without the councillor’s personal phone

An official WhatsApp or chat channel for the municipality: opening hours, common procedures and incidents, with a notice that an assistant is speaking and a handoff to a person when needed. Built for town halls that cannot keep the OAC open all day.

Everything you need, ready to ship

We handle the idea, production, editing and format adaptation. No loose ends. No complications.

Town hall WhatsApp

Residents write to the official number, not the mayor’s. After hours the chat answers what is already published; by day the team sees what is still pending.

Incidents

Streetlight, bin, pothole: the resident describes it or sends a photo. The system opens a ticket for the technician, not an endless thread on the internal WhatsApp group.

What is already published

Hours, waste collection, registers, local festivals. It only answers with information validated by the clerk or the competent department. If it is not there, it does not invent it.

The language of the municipality

Catalan, Spanish or others as the council decides. One language per conversation, without mixing or sounding like a call centre.

Transparency (AI Act)

The resident knows they are speaking to an assistant. There is a path to a person. Administrative decisions are never presented as if a human had taken them.

What the town actually asks

The dashboard shows repeated topics. It is there to update the website and the OAC, not for an “innovation” PDF nobody reads.

What it is not

It does not replace the sede electrónica or sign a decree

The chat is not the register. It does not lodge an appeal, notify an administrative act or “resolve” a file. It informs, logs incidents and points to the right procedure. If the resident must go to the electronic office, we say so clearly.

  • Information and guidance, not an administrative act
  • Escalation to a technician or the OAC when the case leaves the script
  • A practical guide in the chat vs sede electrónica article

Clear limits
Small municipality

Built for the clerk’s office, not a 12-person innovation department

In a small town the bottleneck is one or two people who answer everything. The assistant takes the 40 identical questions each week (hours, the festival, the food-waste bin) so those people can deal with what does not fit a FAQ.

  • Start with the 30–50 real questions from the last quarter
  • A dashboard to review conversations and correct answers
  • No named roll-outs on this public page

How we work

Three steps for a channel residents already use

No technology circus. Real questions first, then the public WhatsApp.

1

Inventory

Real questions, current channels and what must not be automated (named complaints, complex planning).

2

Channel and knowledge

Official number, legal notices, a base validated by the officer in charge and escalation rules.

3

Pilot

A month measuring threads closed without a person versus the Monday rush. Then we expand or we correct the content.

FAQ

Any questions?

No. WhatsApp or the website chat. The phone they already use.
